Managed AI Automation
for Small & Mid-Size Businesses

Managed services meet modern agentic AI. We design, implement and operate standardized AI-powered systems for whole departments (customer support, sales, finance, operations and marketing) under your written policies. We run the agents, workflows, integrations and monitoring on a recurring fee, so you get the efficiency without building an internal AI team.

Who It's For

Built for businesses that want AI efficiency with clear rules and someone accountable for keeping it running.

  • Small-to-medium businesses with 10–200 employees that want efficiency without building an internal AI team
  • Existing IT clients who already trust NexGen Tech Support for their infrastructure and now want process automation (see Small Business IT)
  • Departments such as help desk and customer support, sales ops, finance and accounts payable, operations, and marketing

Four Core Offerings

A managed service, not a one-time project: we own the systems, keep them healthy and keep improving them.

Department Automation Playbooks

Standardized processes plus AI agents for common business functions, each with a process map, agent roles, escalation rules, systems of record and success metrics.

AI Agent Implementation

Custom agents, workflows and integrations (CRM, ticketing, accounting, email) that follow your company's policies.

Governance & Policies

Approval workflows, data handling rules, audit trails and human-in-the-loop checkpoints.

Managed Service Operations

Ongoing monitoring, optimization, updates, reporting and support.

Our 5-Step Method

Every engagement follows the same standard process.

1. Discovery

Map current department processes, pain points, systems and policies.

2. Design

Define standard operating procedures, AI agent roles, decision boundaries and approval gates.

3. Build

Implement agents, integrations (CRM, ticketing, accounting, email) and knowledge bases.

4. Deploy & Train

Roll out with human oversight and train your staff on when to step in.

5. Operate & Optimize

Ongoing managed service: monitor performance, refine policies and expand to more departments.

Safety Standards We Don't Bend On

These standards apply to every engagement and every department automation.

Human approval

No agent sends email, posts messages, makes payments, deletes data or changes production settings without a person approving that specific action. When an agent is uncertain or a policy is unclear, it escalates.

Drafts by default

Emails, responses, reports and recommendations are produced as drafts for review, unless a process has been explicitly pre-approved for limited, low-risk action.

Every action logged

Significant agent decisions and actions are logged, including who approved them. You get regular reporting on volume handled, escalations and exceptions.

Least privilege & privacy

Agents get only the access the process needs. Client data is kept no longer than necessary, never used to train models without written consent, and never shared across clients.

Also built in

  • A defined system of record for every process; agents never invent numbers, dates or customer details, and stop to ask when information is missing
  • Versioned agent instructions with a change log, review before material changes, and rollback
  • Documented scope for each automation: what it may do, what it must not do, and when it escalates
  • A clear incident and escalation path, with clients notified of incidents that affect them
  • Clean pause or exit, with your data staying in your own systems

Department Templates

Starting points we tailor to your processes and policies.

Customer Support / Help Desk

Triage, knowledge lookup, ticket routing, draft responses and escalation rules.

Sales

Lead qualification, follow-up sequences, CRM updates and pipeline reporting.

Finance / Accounts Payable

Invoice processing, approval routing and reconciliation support.

Operations

Task assignment, status reporting and exception handling.

Marketing

Content drafts, campaign tracking and reporting, with approval required before anything is published.

Packaging Options

Implementation (discovery, design, build and deployment) is scoped as a project. The managed service then runs on a monthly or annual agreement. All packages are priced by quote after discovery.

Single Department

One focused automation, such as help desk or sales ops, plus the managed service.

Multi-Department

Two or more departments under one managed agreement.

Full Department Suite

Core departments (support, sales, operations, finance) as one unified managed automation platform.

Tiered by Volume or Complexity

Base, Standard or Premium, based on ticket or lead volume, number of integrations, or required service levels.

What the managed service covers

  • Monitoring of agent performance and exception rates
  • Prompt, policy and knowledge-base refinements as your processes or systems change
  • Integration health checks and minor fixes
  • Regular reporting: volume handled, escalations, time saved, accuracy
  • Priority support for automation issues
  • Scheduled monthly or quarterly reviews
  • Version control and change management for agent instructions

Major new scope is quoted separately. Looking for a one-off build instead? See Custom Software, AI & Automation.
